REQUEST FOR PROPOSALS

The Baltic-American Freedom Foundation (BAFF) seeks proposals from Baltic-based freelance writer and graphic designer and/or writer/graphic designer team to provide overall design direction and production-ready materials to commemorate our tenth anniversary. A celebratory event including a conference and gala alumni dinner for 300 attendees planned for November 2021.

Design products will include print and electronic design and production-ready materials for a ten-year report/publication, video, webpages, social media posts, and related items such as signage, invitations, and table favors.

BAFF also anticipates hiring a Baltic-based writer to schedule and conduct interviews with BAFF Board of Directors (BOD), alumni, and staff and produce copy for the items described above. Proposals from designer-writer teams with strong portfolios of similar projects, invited to submit proposals.

Creative Brief
Design proposals must coordinate with and complement the current BAFF website: www.balticamericanfreedomfoundation.org. This work will address two main audiences: BAFF BOD, individuals and organizational (e.g., Baltic-American Dialogue grantees) alumni and external stakeholders including U.S. and Baltic ambassadors, Baltic university Rectors, U.S. host organizations, etc. Design treatments should reinforce the impact of the Foundation, its programs of education and exchange, and the brand identity of our prestigious 600-member alumni organization, focusing on continuity aspect. The work should creatively convey the breadth, depth, and continuity of BAFF programs, featuring BAFF alumni. No new logo is required, but proposals for anniversary taglines are welcome.

  • March 4 Proposal deadline

  • March 15 Finalist pitches

  • March 29 Notification

  • May 1 First draft

  • June 1-July 31 Revisions

  • September 1 Final report layouts for US proofing; final web pages for publishing

  • September 15 Final with corrections to printer

  • September 30 Signage, etc. final for production

Proposal Deliverables

  • Short personal introduction, statement of interest in the project, description of similar completed projects

  • 3 to 5 sample design treatments, including a two-page report spread, web page, and associated products

  • 3 to 5 writing samples (designer/writer team)

  • Short written rationale for proposed design elements; also proposed interview treatment (designer/writer team)

  • Portfolio of completed projects and client list

  • CV(s)

Budget Proposal Requirements

  • Project estimate for finished design and production-ready layouts for
    24-32 pp. report
    2-3 webpages
    5-6 associated products (signage, etc.)

  • 10-12 interviews (designer/writer team)

  • Assume 2-3 revisions for each product

  • Assume BAFF staff will provide overall project management (printing, web publishing, etc.)

  • Pricing assumptions for additional products that may be assigned

  • Rate for expenses, including Baltic travel (if will meet epidemiological requirements)

  • Invoice/payment schedule

Work Process
BAFF staff Ilze Doskina (Riga, Latvia) and Laura Lyons (Portland, Maine USA) will serve as project managers. We anticipate a collaborative working relationship with minimal intermediary input (in other words, prepare to work directly with “the client”. You may be asked to present your work to BAFF BOD and/or members of the BAFF Alumni Council. As the celebratory event activities are finalized, additional design products may be required. Flexibility and collegiality are valued. BAFF will provide samples of previous work, including our fifth-anniversary book and numerous videos, hundreds of alumni photos, and suggested interview subjects.

Other Considerations
BAFF will retain all ownership of all materials. Editable copies of all print and production submissions will be submitted and retained by BAFF.

Proposal Evaluation
Proposals will be evaluated by a small committee to include BAFF staff, BAFF BOD representative, based on the following:

  • Design quality and accompanying rationale

  • Evidence of understanding and engagement with BAFF history, mission, programs

  • Budget proposal

  • Flexibility, collegiality

  • Previous work, client list, references
